Privacy Policy & Data Protection

This Privacy Policy describes how Time to Fly Counselling will use any information you provide and to whom we will disclose that information. Any personal data you provide through any means (via website, electronically, verbal or written) will be processed and held in accordance with the Data Protection principles set out in the Data Protection Act 2018 and the General Data Protection Regulation for the purposes of which you have given consent to provide the services you have requested from us

What information do we collect and store?
The information received on initial contact is the principal data that we keep. The information is required so that we can make contact with you using telephone, email or Zoom and identify your address. We rarely record any information about the content of our counselling sessions but any notes we do make would be stored separately from your personal details. These notes would not be held electronically and they will be anonymised and confidential

What do we use your information for?
To provide a professional counselling service that has been requested from us. To notify you about any changes to your appointments and/or any other changes. To allow contact for assessment/feedback with your counselling experience. To administer arrangement of appointments. To improve the service we provide to ensure it is most effective for you and us

When would we share your information?
Everything you share is confidential unless you mention anything which means you or someone you know is likely to come to serious harm., you mention anything to do with the drug trafficking act, the children’s act or money laundering

Compliance with the law
We may share your information where we are required to by law, for example if your notes were subpoenaed to court

How do we keep your information safe?
All information you provide us is stored as safely as possible. All electronic records are stored on our own computer server. All access requires password protected authentication, provided by reputable service providers using secure internet cloud technology. Transmission of information via the internet is unfortunately never completely secure, although we do use a fully encrypted site. we will do our best at all times to protect your information using industry standard protocols and encryption. We cannot guarantee the security of your data sent via email, although you can password protect to increase confidentiality. Any such transmission is therefore at your own risk. Once we receive your data, we use strict procedures to try to prevent unauthorised access however. Client notes and other documentation will be destroyed 7 years after the end of your counselling sessions

Your Rights
You have the right to ask us to provide a copy of any information we hold in our records. You also have the right to ask us to correct any inaccuracies in your information. Please don’t hesitate to contact us if you would like to do this.
You also have the right to withdraw consent for us to hold and process your data at any time

Changes to this Policy
If we make any substantial changes to this Policy at any time, you will be notified
